Position Summary:
We’re seeking a proactive and highly organized Executive Assistant to support a C-level executive in a fast-paced, growing business. This role is ideal for someone who thrives behind the scenes, ensuring operations run smoothly with precision and professionalism. If you have exceptional communication skills, a sharp eye for detail, and the ability to manage multiple priorities with discretion, we’d love to meet you.
Responsibilities:
- Manage complex calendar scheduling, including internal/external meetings, time zone coordination, and reminders.
- Screen and respond to emails, messages, and meeting requests on behalf of the executive.
- Prepare reports, presentations, and internal communications with clarity and polish.
- Coordinate travel arrangements and logistics (flights, hotels, agendas).
- Maintain and organize digital files, shared drives, and documentation.
- Track tasks, project deadlines, and follow-ups to keep the executive aligned and on schedule.
- Liaise with internal teams, clients, and vendors as a representative of the executive.
- Handle confidential information with utmost discretion and professionalism.
- Support occasional personal tasks (bookings, reminders, etc.) as needed.
Qualifications
- Bachelor's degree in business administration, Communications, Management, or related field.
- Intermediate to advanced English proficiency (written and verbal).
- Minimum 3+ years of experience as an Executive Assistant or in a similar role supporting senior leadership.
- Experience in a remote or fast-paced startup environment is a strong plus.
Hard Skills
- Proficiency in Google Workspace or Microsoft 365.
- Familiarity with project management tools (e.g., ClickUp, Trello, Asana).
- Skilled in communication platforms (e.g., Slack, Zoom).
- Strong document preparation and formatting skills.
- Digital file organization and task tracking expertise
