  ​​We are seeking a highly organized and proactive Executive Administrative Assistant to provide comprehensive support to our executive team. You will manage daily administrative tasks, streamline communication, and ensure smooth operations by efficiently handling a wide range of responsibilities. This role is critical to helping our CEO and COO stay focused, organized, and productive.

Key Responsibilities

  • Provide day-to-day support to the CEO and COO, managing both personal and business-related tasks.
  • Draft professional and concise communications and correspondence on behalf of the CEO.
  • Schedule appointments and meetings for the CEO and COO, including both personal and business obligations.
  • Clear or adjust the CEO’s calendar as needed to accommodate changing priorities.
  • Proactively handle appointment bookings, often requiring phone calls for confirmations and inquiries.
  • Arrange cost-effective travel plans for the CEO and staff, including flights, accommodations, and transport.
  • Manage the CEO’s inbox: organize, reply, and delegate emails appropriately.
  • Act as a liaison between the CEO and clients or internal team members.
  • Input and track company sales data accurately and promptly.
  • Assist with creating reports, presentations, and documentation for internal use.
  • Attend staff meetings to take notes and generate actionable reports.
  • Support customer service escalations and assist with influencer outreach, depending on available time.

Qualifications

  • Minimum of 3 years of experience in roles such as Executive Assistant, Administrative Assistant, Operations Manager, or Chief of Staff.
  • Proven experience supporting CEOs or executive-level leaders.
  • Strong knowledge of Google Workspace or Microsoft Office Suite (Docs, Sheets, Slides, etc.).
  • Demonstrated experience in managing calendars, email communication, and scheduling.
  • Strong communication skills with the ability to draft professional, clear, and concise correspondence.
  • Experience in project management tools like Trello or Asana.
  • Familiarity with managing both internal and external communications, including client and vendor coordination.

Preferred:

  • Experience with Canva and/or Shopify.
  • Background in handling staff communications and event coordination.
