We are seeking a highly organized and proactive Virtual Executive Assistant to support the Chief Technology Officer (CTO) with daily tasks and administrative duties. This role will be vital in managing the CTO's schedule, organizing meetings, handling communications, and collaborating with the marketing team on social media activities (primarily LinkedIn). The ideal candidate will be detail-oriented, responsive, and comfortable working in a fast-paced environment. 

Key Responsibilities:

  • Calendar Management: Schedule, prioritize, and manage appointments and meetings. Ensure proper time management by flagging critical tasks and deadlines.
  • Email and Communication Management: Draft and respond to emails, phone calls, and memos on behalf of the CTO. Act as the primary point of contact for internal and external communication, maintaining professionalism.
  • Meeting Coordination & Notes: Organize and coordinate meetings, including preparing materials and agendas. Attend meetings to take detailed notes and actively follow up with attendees on action items.
  • Travel Arrangements: Handle all travel logistics, including booking flights, hotels, and transportation. Ensure travel plans are efficient and cost-effective.
  • Document Management: Organize and maintain digital documents, reports, and files. Ensure easy access to records and assist in document preparation as needed.
  • Social Media Support: Collaborate with the Marketing team to manage the CTO’s LinkedIn account. Coordinate posts, respond to comments, and monitor messages. Attend regular meetings with the marketing team for social media planning and execution (content creation not required).

Qualifications:

  • Proven experience as an Executive Assistant, Virtual Assistant, or in a similar role.
  • Excellent communication skills, both written and verbal.
  • Highly organized with strong attention to detail.
  • Ability to multitask and manage time effectively.
  • Proficient in managing digital calendars (e.g., Google Calendar, Outlook).
  • Strong skills in Microsoft Office and Google Workspace.
  • Familiarity with LinkedIn and basic social media management.
  • Ability to work independently and meet deadlines.
  • Must be able to work in the Arizona time zone (Pacific/Mountain).
