Administration Systems Manager (Shopify Experience)

The mission of the Operations and Systems Manager position at HEVRON is to design, build and maintain the systems, team and processes required to ensure HEVRON meets the needs of its customers flawlessly. You will own the day-to-day systems, data accuracy, workflows, and platform integrations that support e-commerce, wholesale, inventory, and reporting. You ensure nothing falls through the cracks, everything is clean, and the business can scale without chaos.

Key Responsibilities

Shopify & E-Commerce

• Manage all Shopify backend tasks: product setup, variant creation, tagging, collections, metafields, inventory rules, site updates.
• Maintain homepage, navigation, hero assets, and scheduled updates or promotions.
• Troubleshoot theme issues and coordinate with developers when needed.

Inventory & Operations

• Maintain accurate on-hand inventory across Shopify and warehouse systems.
• Reconcile discrepancies, track inbound shipments, update ASNs, and verify stock levels.
• Partner with 3PL to ensure smooth receiving, pick/pack, returns, and SLAs.

Wholesale Support

• Upload line sheets, UPCs, pricing updates, and seasonal data for wholesale partners.
• Maintain NuOrder/FashionGo/Faire or other platforms.
• Track order status, shipping updates, and returns.

Data, Reporting & Systems

• Maintain clean product data: skus, costing, margins, attributes, season codes.
• Build and update weekly dashboards (sales, inventory, returns, ad performance).
• Manage integrations: Klaviyo, Loop, ShipStation, 3PL systems, Google Sheets, etc.
• QA all automated workflows and escalate issues quickly.

Process & Workflow Management

• Create SOPs for recurring tasks (product launches, site updates, sample tracking).
• Identify inefficiencies and propose system improvements.
• Ensure internal calendars and deadlines are met (launches, markdowns, restocks).

Manage Operations

• Work with freight forwarder to track inbound shipments to warehouse
• Keep 3rd party warehouse in Atlanta up to date on inbound shipments and wholesale returns
• Ensure vendor standards are being met and work continuously with vendors to improve operational efficiency.
• Manage production order lifecycle in our system from creation to inventory receiving
• Manage sales order lifecycle in our system from creation to inventory receiving
• Handle all customer service needs

Skills

• 2–4+ years in e-commerce operations or systems admin role (fashion preferred).
• Strong Shopify experience (admin, theme sections, metafields, apps).
• Proficiency with Google Sheets/Excel (lookups, pivot tables, basic formulas).
• Detail-oriented and process-driven with strong organizational skills.
• Comfortable with data, troubleshooting, and fast-paced workflows.
• Experience with 3PLs, inventory systems, and integrations a plus.
